n8n vs Make vs Zapier vs Power Automate - which should a growing business use?

A practical comparison of n8n, Make, Zapier and Power Automate for workflow automation, with guidance on which fits which kind of business.

By Muthuraman ·

All four tools connect your apps so that work moves between them without retyping. They differ in cost, flexibility, and where your data lives. Here is how we choose between them for clients.

The short version

Tool Best for Watch out for
Zapier Simple, quick connections between popular apps Cost rises quickly with volume and multi-step flows
Make Visual, branching workflows at a moderate price Complex scenarios get hard to maintain
n8n Complex workflows, AI steps, and control over hosting Needs someone technical to set up and look after
Power Automate Businesses already inside Microsoft 365 Awkward outside the Microsoft world

Zapier

The easiest to start with and it connects to almost everything. For one or two simple automations run by a non-technical team, it is hard to beat. The trade-off is price: each step of each run counts, so busy workflows become expensive.

Make

A visual canvas that handles branching, loops and data transformation better than Zapier, usually for less money. A good middle ground for marketing and operations teams.

n8n

n8n is where we build most often. It handles long, branching workflows and treats AI steps, such as reading an email, sorting a request or drafting a reply, as ordinary building blocks. It can run on n8n's cloud or be self-hosted on your own server, which matters if you care where your data sits or run high volumes.

It is more technical than the others. That is fine if an agency or an in-house developer maintains it, and less fine if nobody will.

Power Automate

If your company runs on Microsoft 365, Power Automate works inside your existing security and permissions, alongside SharePoint, Teams, Excel and Power BI. For approval flows and document handling in a Microsoft business, it is often the simplest choice.

How to choose

  1. Where does your work live? Mostly Microsoft: start with Power Automate. A mix of web apps: n8n or Make.
  2. How complex is the process? Two or three steps: Zapier or Make. Branches, exceptions and AI: n8n.
  3. How many runs per month? High volume favours n8n, especially self-hosted.
  4. Who will maintain it? Be honest. The best tool is the one that will still be working in a year.
  5. Where must data stay? If it has to remain on your own infrastructure, n8n self-hosted or Power Automate in your tenant.

Can you mix them?

Yes, and many businesses do: Power Automate for internal approvals, n8n for customer-facing workflows. The risk is sprawl, so document what runs where.
